IT-regulations at Volda University College
Your rights
When you’re a student at Volda University College (Norwegian abbreviation: HVO), you’ll have access to a lot of IT-equipment, such as computers, printers, networks etc. The equipment is there to help you during both practical and theoretical tasks during your studies, and we hope you’ll benefit from it. We have established some regulations regarding the use of this equipment and the IT-services you have access to at HVO. These regulations are primarily designed to simplify both your studies and our IT-consultants in their development and maintenance of the IT-services at HVO. We urge you to read and respect these regulations – it’s in our common interest.
The IT-services at HVO are largely based on trust and responsibility, and we both expect and demand that our students respect the regulations and treat the equipment with the necessary caution.
Student/employee accounts, passwords and files
All students/employees at HVO will get a username and password to access the networks. The username and password are strictly personal, and all students/employees must ensure that nobody else can access them. Students/employees who suspect that other users have acquired access to their account without permission, must contact the IT-department immediately to protect the account and files.
Canvas-information
Canvas is an e-learning tool for network-based classes and training. It has been developed in cooperation with both colleges and private schools, and will only contain information about the user that is needed in these classes and training. This document describes the “electronic tracks” that are collected and used in Canvas.
When you start using Canvas, you accept that this information is registered and used by those with access to them.
All Canvas users have their own “ID-card”, containing two kinds of information. This is information collected from the student administration system (aka. FS) at HVO. This information is not available for the student to change in Canvas. Such changes must take place in FS. Furthermore the student cannot decide whether this information should be visible in Canvas or not. The information consists of name, address, e-mail address and phone number. The classes the student participates in are also registered. This information is visible for the other students in these classes. Finally, the user can choose to add other information that is also visible for the other users.
To enable the teachers to evaluate both their own and the students’ activities, and act accordingly, Canvas registers what information each student has accessed and the time of both the user’s recent access to the system and his first use of Canvas. Any student or teacher with access to a “room” in Canvas can see who has published a document, a link or an entry in the forums, and they can also see who has read these entries and documents.
A user with rights to create rooms can generate statistics showing the other users’ activities in this particular room. These statistics can contain information about the users’ last login, the number of logins, the number of uploaded and read documents, the number of uploaded and read links as well as the number of forum entries and read entries.
Computer labs
The various computer labs on campus are considered working spaces, where a student should be able to concentrate on studies and related tasks. The labs are frequently used for classes, and sometimes they are reserved or prioritized for such classes or other intensive studies. These reservations are announced next to or on the lab doors.
Ethical guidelines and regulations
At no time should the equipment be used to harass other students or users at or outside campus. This includes insulting and indecent e-mails as well as entries in forums or newsgroups. All unauthorized use or access to files or other users’ personal equipment or reserved equipment at HVO is prohibited. In general you are solely responsible for the proper use of your account and files. If your account has been used for unacceptable use according to these regulations, you may be held responsible yourself.
Uninett maintains the network services and infrastructure for colleges and other research institutions, and is owned entirely by The ministry of education and research. According to Uninett’s ethical guidelines for the use of network recourses it’s regarded as unethical and unacceptable if you:
- seek unauthorized access to network recourses
- hide your identity, except when such anonymity is explicitly allowed
- breach the network rules for acceptable use
- access unnecessarily large amount of information (e.g. downloading large files)
- destroy contents or structures of saved information
- breach other users’ right to privacy
- insult other users
If and when breaches of these rules occur, HVO have the responsibility to stop such breaches and seek to avoid future breaches of this kind. In case of repeated breaches of the rules, or if the breach is of such serious nature, UNINETT may choose to shut HVO out from the network services for a given period, or permanently in extreme cases.
When you become and HVO student, you will receive your own e-mail account. Remember to check your account regularly, and delete messages when they are no longer neede.
HVO does not censor e-mail messages or forum entries, but reserve the right however to limit the access to such services. Your e-mail address will be username@stud.hivolda.no and as such it may identify both yourself and HVO. Commersial use of your HVO e-mail account is prohibited.
Food and drink
Under no circumstances is it allowed to eat or drink in the computer labs.
Regulation breaches
For security reasons, all network traffic at HVO is monitored. The primary reason for this is to stop hacking and virus attacks. Also, the monitoring is vital in the efforts to protect the IT-recourses from illegal use such as saving and sharing pornographic content, copyrighted music and movies, and other files and information that is illegal according to Norwegian laws. This monitoring does not include the contents of e-mail messages, forum and newsgroup entries or the students’ personal folders on the network, unless the student himself or other legal authorities grant such use. HVO reserve the right to close student accounts when illegal use of the IT-recourses is suspected, and will investigate the matter as soon as possible to enable opening the account quickly. Repeated abuse, or failure to comply with HVO’s demands can result in the account being permanently closed.
Finished as student at Volda University College
After you are finished with your studies here in Volda, the user account will remain open for 2 months. If you need to, please copy all the student data ex. blogs or files and email. After these two months all the files and email will be deleted from our system.

Final words
As a rule of thumb the phrase <93>even if something is possible, it is not necessarily legal<94>. HVO urge users to employ common sense and decency.
